Administrative Assistant / Secretary

Location: Oshawa

Number of positions: 1

Work Hours: Full-Time, Weekdays (40 hrs./wk.  Monday – Friday 8 am – 4 pm

Pay: $18-$19/hr.

Education / Certification Required: Not Required but an asset

Vaccination/Medical Testing and/or Disclosure Required: No

Number of Years of Previous Experience Required: Previous guest/customer service experience 1 year

Own Transportation Required: No

Start Date: ASAP

Main Responsibilities:

·        Booking and modifying appointments and billing

·        Managing service scheduling and follow-ups with clients

·        Enters data and information in standard programs (Microsoft Office Word and Excel – Basic QuickBooks)

·        Organizing office — physically and in terms of files Liaising with team members and clients by appointment only; provides pleasant interaction

·        Completing all Invoicing using QuickBooks, answering incoming calls, collecting new lead information, and creating a customer profile using CRM System

·        Email responsibilities: completion of daily assigned tasks and customer correspondence

·        Scheduling estimators for new leads inspection appointments, jobs with customers and prospects

·        Data entry using Google doc/Cloud

·        Completing additional office responsibilities/tasks, including a weekly commission report

Job Requirements:

·        Good communication skills and attention to detail

·        Someone who is willing to grow in role (likes to learn)

·        Need someone for long term — intent to stay in role

·        Previous guest/customer service experience
